ABN & GST Lite Admin in Notion (Without Becoming an Accountant)

Australian freelancers often swing between two extremes: shoebox chaos (receipts in email, invoices in Downloads) or overbuilt accounting theatre (twenty Notion formulas pretending to be Xero). There is a middle path: a lite admin layer in Notion that tracks the operational truths you need week to week, while your accountant or bookkeeping tool remains the system of record for tax.
This article shows that middle path. It is not tax advice. GST registration thresholds, BAS timing, and deductible rules change — confirm with a registered tax agent. What follows is systems design for solo operators with an ABN.
What “lite admin” means
Lite admin answers four questions fast:
- What is my ABN and business identity block for documents?
- Am I treating this job as GST-applicable or not (based on my registration status)?
- Which invoices and expenses belong to which quarter (roughly)?
- What have I already sent to my bookkeeper vs what is still floating?
If your Notion tries to compute GST payable to the cent across mixed supplies, you have left the lite zone.
Business constants page (create this first)
Make a single Notion page called Business constants and lock the important bits in callouts:
- Legal / trading name
- ABN
- GST registered? (Yes/No) + date registered if yes
- Business address
- PayID / BSB+Account / [AFFILIATE: Wise | Wise payout details | placeholder] / [AFFILIATE: Airwallex | Airwallex details | placeholder]
- Default payment terms (e.g. 14 days)
- Invoice number prefix (e.g.
NDYT-) - Accountant email + BAS due reminders (calendar links)
Every proposal and invoice template should link here instead of hard-coding numbers you will forget to update after a bank change.
Database: Compliance calendar (simple)
One database with rows for recurring obligations. Examples solos often track:
- BAS lodgement windows (if registered)
- Income tax / PAYG instalment reminders
- Insurance renewals (public liability, etc.)
- Domain, software, and super contribution check-ins
- ABN details review (annual glance)
Properties: Due date, Status, Owner (you), Link to instruction, Notes. This is a nag list, not a filing system.
Database: Invoices with GST flags
Extend your invoice tracker (see cashflow article) with:
- GST treatment: GST-inclusive / GST-free / Not registered (N/A)
- Period tag: FY-Q1, FY-Q2… (manual select is fine)
- Exported to books? Checkbox
Why the checkbox matters: bookkeepers hate duplicate PDFs and missing ones equally. A weekly habit of “mark exported after Dropbox drop” prevents the Sunday-before-BAS panic.
Amounts: store total AUD charged. If you must store exclusive + GST components, do it only if you personally understand your invoice layout — otherwise keep the PDF as truth and Notion as status.
Database: Expense captures (optional, capped)
If you insist on Notion for expenses:
- Date, Merchant, Amount AUD, Category (coarse), Project relation (optional), Receipt file, Exported?
Cap the ambition: categories like Software, Contractor, Travel, Education, Other. Do not recreate the Australian master chart of accounts.
For card-heavy months, many solos photograph receipts to Drive and only log >$50 items in Notion. Perfect is the enemy of lodged.

Separating “ops truth” from “tax truth”

Blurring these creates false confidence. Your dashboard can say “all invoices paid” while a bank feed still needs matching. Schedule a monthly books sync block: export new PDFs, tick Exported?, send a short note to your bookkeeper.
Onboarding a new client with compliance in mind
When a lead becomes active:
- Capture their legal entity name + ABN if they have one
- Confirm whether they need a particular invoice format (ABN, PO, cost centre)
- Paste your Business constants payment block into the kickoff email
- Create the project with GST flag consistent with your registration — not theirs
Client GST registration does not decide yours. Confusion here produces messy PDFs.
Quarterly rhythm (90 minutes)
Week before BAS (if applicable) or quarter end:
- Open Overdue invoices — clear what you can
- Filter invoices by Period tag — ensure PDFs exist
- Filter expenses Exported? = No — batch send
- Check Compliance calendar for the next 6 weeks
- Write one note: “Questions for accountant”
Then close Notion and go outside. Lite admin ends with a handoff, not a rabbit hole.
What not to build
- Automated GST calculators copied from random templates without understanding
- Multi-currency tax engines in Notion formula language
- Fake “ATO sync”
- Public pages that expose your ABN documents carelessly
Notion sharing defaults deserve a glance: Business constants should not be world-visible.

Example: tagging one real week
Imagine you issued three invoices and paid two subscriptions:
- INV-220 to an AU Pty Ltd — GST-inclusive total $2,200 — Period FY-Q1 — PDF in Drive — Exported? Yes after bookkeeper Friday drop
- INV-221 to a US LLC — you are GST-registered but this supply’s GST treatment depends on your rules and the nature of the supply — flag it, do not invent law in a formula, ask your agent if unsure — track payment via [AFFILIATE: Wise | Wise Business | placeholder]
- Adobe + Notion AI billed in USD — log expense roughly, attach receipt, convert note “AUD landed ~$X” from bank/Wise export
Your Compliance calendar shows BAS prep in 10 days. You are not calculating the BAS in Notion; you are ensuring artefacts exist.
Handoff template to your bookkeeper
Paste into email monthly:
- Link to folder of new tax invoices (sales)
- Link to folder of new expense receipts
- List of invoices marked paid in Notion but clarify bank date if needed
- Questions bullet list (max five)
- Note any overseas receipts and which rail was used (Wise/Airwallex/bank)
Short handoffs get short bills from bookkeepers. Novel-length Slack dumps do not.
When to stop using Notion for admin
Upgrade pressure signs:
- More than ~40 expense lines a month you care about categorising
- Multiple team members needing coded access
- Inventory, payroll, or complex GST classifications
- You are arguing with formulas instead of issuing invoices
At that point, Notion remains the ops cockpit; Xero/QuickBooks/etc. remains the ledger. Fighting that split is how lite admin dies.
Closing
ABN and GST do not require a Notion masterpiece. They require identity consistency, honest flags, export hygiene, and respect for your accountant’s system of record. Build constants, a compliance calendar, invoice flags, and an optional skinny expense log. Stop when the next feature would need a ruling from the ATO — that is your cue to leave the lite zone.
